Get lots ready and set lot numbers

Check which lots are ready

Readiness shows the open platform sales with a sale date of today or later, or with no date. For each sale, it shows how many lots are ready.

A lot is ready when it has all of these:

  • Photos
  • A description
  • A grade, or a grading service
  • A start price or an estimate
  • A storage location: a safe, shelf, box or location details

To fix the lots of a sale:

  1. Click the sale on Readiness. You can also click "Readiness" on the sale page.
  2. Find the list for each missing item, such as "No photos".
  3. Click the link on a lot, such as "Add photos", "Write description", "Add grade", "Set price" or "Set location".

Readiness checks lots in open sales only. It does not check lots that have a result.

Track daily work

The "Today" box shows the coins entered, photos added and descriptions saved by each member today. Owners and admins can click "Set goals" to set daily goals for each member. Use 0 for no goal.

Set lot number rules

Without a rule, a new lot gets the next number after the highest number in the sale. A rule sets the format.

  1. Go to Lot numbers.
  2. Click "Add rule".
  3. Type a "Name".
  4. In "Use for", choose "All sales", "One platform", "One category" or "One sale". Then choose the platform, category or sale.
  5. Set the "Prefix" (up to 4 letters and digits), the "Separator", the "Start number" and the "Digits (pad with zeros)".
  6. Click "Save rule".

When more than one rule matches, the most specific rule applies. "All sales" applies only when no other rule matches. When you delete a rule, lots keep their numbers.

Lots that you add to a Flow auction also use your rules. Only "All sales" and "One category" rules apply to a Flow auction.

You need the "Edit coins" permission to change lot number rules.

Assign lot numbers

  1. On Coins, select the coins.
  2. Click "Assign lot numbers".
  3. Choose the "Sale".
  4. In "Rule", keep "The rule that matches each coin", or choose one rule.
  5. Click "Assign lot numbers".

Coins that are not in the sale become lots. A lot that you exported keeps its number. To number the lots that you did not export again, open the sale menu and click "Renumber lots not exported".
