Invoice coin sales from your inventory.

Pick the coins, set the prices, and send the invoice. The coins come out of stock when you create it. Payments, returns, and the balance due stay on the same invoice.

Sales from eBay make their own invoices, so every sale is in one list.

Invoice #1058 in CoinManagerPro, partly paid, with $3,845.00 due. Three coin lines with SKUs, an Add line button, and a remove button on each line. Under the lines: a subtotal of $5,910.00, a $110.00 discount, $45.00 shipping, a total of $5,845.00, and a $2,000.00 check payment. The customer, the due date and the message on the invoice show at the right.

What invoices do

One record for each sale, from the coins on it to the last payment.

Lines from your coins

Pick a coin from inventory for each line, or type a description for anything else. Click Add line for more. You cannot sell more of a coin than you have on hand.

Stock updates when you invoice

The coins come out of stock when you create the invoice. Void the invoice and they go back in stock.

Your logo and terms

The invoice template sets your logo, business name, address, accent color, payment instructions, footer, and legal terms. A preview shows a sample invoice.

Email, PDF, or print

Email invoice sends the invoice with a pay link. You can also download a PDF, print it, or mark it as sent when you hand it over in person.

Card payments and recorded payments

Buyers pay by card through the pay link. Record cash, check, wire, Zelle, and other payments by hand, with a reference such as the check number.

Partly paid and overdue

Record part of the balance and the invoice shows Partly paid. An invoice with a balance after its due date shows Overdue.

Discount, shipping, and tax

Add a discount, a shipping charge, and a tax amount to an invoice. The totals show the subtotal, each adjustment, what was paid, and the balance due.

Voids and returns

Void an invoice to put its coins back in stock. A paid invoice cannot be voided. To take back part of a sale, record a return on the line.

How invoicing works

01

Set up the template

Upload your logo and enter your address, payment instructions, and terms once.

02

Make the invoice

Click New invoice, pick or add the customer, and add the coins. Or click Sell on a coin to invoice one coin.

03

Send it

Email the invoice with its pay link, download the PDF, or print it.

04

Record the payments

Card payments record on their own. Record a check or cash when it comes in.

Questions about invoices

Can I invoice items that are not in my inventory?

Yes. Type a description on the line instead of picking a coin. Only lines with a coin from inventory change your stock.

Does CoinManagerPro calculate sales tax?

No. You enter the tax amount on the invoice. Tax rules for coins and bullion differ from state to state, so check with your state's revenue department or your accountant.

What statuses does an invoice have?

Draft, Sent, Partly paid, Paid, Overdue, Void, and Cancelled.

Can a buyer pay part of an invoice?

Yes. Record part of the balance by hand, or allow partial card payments in your payment settings. The invoice shows Partly paid until the balance is zero.

Who can make and void invoices?

Members with the Sell permission make invoices and record payments. Voiding needs the Void invoices permission. You cannot void a paid invoice.
