Sell coins and create an invoice

Every sale in CoinManagerPro is on an invoice. Sales from eBay and Walmart make their own invoices. You need the "Sell" permission to make an invoice.

Sell one coin from its page

  1. Open the coin from Coins.
  2. Click "Sell".
  3. Enter the "Price per coin" and the "Quantity".
  4. Pick a "Customer", or leave it empty for a walk-in sale. To add a new customer, type the name and choose "New customer".
  5. Under "Payment", choose how the buyer paid, such as "Cash". Choose "Not paid yet" when the buyer pays later.
  6. Click "Record sale".

The app makes an invoice with the coin on it. When you choose a payment method, the invoice is paid in full. With "Not paid yet", the invoice stays open with the full amount due. Click "View invoice" in the message to open it.

When the coin is away, such as on memo, the app asks first. Click "Sell the coin" only when the buyer has the coin or you have it back.

Make an invoice with many lines

  1. Go to Invoices.
  2. Click "New invoice".
  3. Under "Customer", pick a saved customer, or type a name and choose "New customer". Enter the "Email" and "Phone" if you need them.
  4. For each line, pick a coin from inventory, or type a "Description" for anything else. Enter the quantity and the price.
  5. Click "Add line" to add more lines.
  6. Set the "Due date" and the "Source" if you need them.
  7. Enter a "Message on the invoice" for the customer, and "Internal notes" for your team.
  8. Click "Create invoice".

Coins you add come out of stock when the invoice is created. You cannot sell more of a coin than you have on hand.

A new customer on the invoice or the sale is added to Customers. When a saved customer has the same email, the sale goes on that customer. See Manage customers.

A new invoice starts as "Draft". To send it, see Send an invoice and record payments.

The coins on a draft are out of stock, but the customer does not get the invoice until you send it. When a draft with coins is past its due date and not paid, the app shows it as overdue to you. It keeps the "Draft" status, and the customer gets no email.

Find invoices

Search the list. Sort by "Newest", "Oldest", "Highest total", "Due date" or "Invoice number". Filter by status and source. The top of the page shows "Outstanding", "Overdue", "Overdue more than 60 days" and "Paid in full this month".

"Outstanding" and "Overdue" include drafts with coins on them. The "Overdue" filter also shows drafts with coins that are past their due date.

The statuses are "Draft", "Sent", "Partly paid", "Paid", "Overdue", "Void" and "Cancelled".
