Import coins from a CSV file

Prepare the file

Use a CSV or TSV file with a header row. The largest file is 100 MB. When your stock is in Excel, save the file as CSV first. A file from another system, such as an export, also works. A coin list export from CoinManagerPro imports again with the same columns.

To put coins in categories, add a "Category" column with the category name. For a subcategory, write the parent first and put ">" between the names, for example Morgan Dollars > Carson City Morgans. The coin list export writes categories this way.

Upload and match the columns

1. Go to Import coins. You can also click "Import" on Coins.
2. Click "Choose a file" and select the file.
3. In "Columns", check the coin field for each column. The app suggests a field for each column. A column with the header "Category" gets the "Category" field. A column that shows "Leave out" does not import.
4. Map one column to "Title". The title is necessary. Map each field to one column only.
5. In "Default location", select the warehouse and the zone. Rows with no warehouse or zone go there.
6. Click "Read the file".

To use the same mapping again, enter a name and click "Save as a template". For the next file, select the template in "Template".

When you do not have the "View cost" permission, cost columns do not import.

Check the preview

The preview shows the rows in the file, the coins to add, the rows to leave out, and the rows with notes.

• "Duplicates" lists rows with a certificate number or SKU that is on a coin you have, or on an earlier row. Select "Skip the duplicates" or "Import the duplicates". An imported coin with a used SKU gets a new SKU.
• "Unknown locations" lists warehouse and zone names that the app does not know. For each name, select "Create this location", "Use the default location" or "Leave these rows out".
• "Unknown categories" lists category names that match no category. Upper and lower case do not matter. For each name, select "Create this category", "Import with no category", or a category that you have. "Create this category" also makes the parent categories in the name.
• Use the "Errors", "Duplicates", "Notes" and "All rows" buttons to see the rows.
• Click "Download the error report" to get the rows with errors.

To change the columns, click "Change the mapping". To stop, click "Cancel the import".

When you imported the same file before, the app tells you. Coins with no certificate number or SKU then show two times.

Import

Click "Add ... coins". You can close the page. The import continues. To stop it, click "Stop the import". Coins added before you stop stay.

Undo an import

1. Go to Import coins and open the import.
2. Click "Undo this import".
3. Click "Remove the coins".

The undo keeps coins with a sale, invoice, memo, listing, custody record or later edit. To get a list of them, click "Download the kept coins".
