Record a return and refund
Record a return on the invoice of the sale. You need the "Record returns" permission. A member with the "Void invoices" permission also has it. A void invoice takes no returns.
Record a return
- Open the invoice from Invoices.
- In the "Returns" section, click "Return items".
- In "Line", choose the line that came back. The list shows how many of each line can be returned.
- Enter the "Quantity".
- Check the "Credit". It starts at the line price times the quantity. The credit comes off the invoice.
- In "Refund from", choose the payment to refund, or "No refund".
- If you refund, check the "Refund amount".
- To put the coins back in stock, check "Put the returned coins back in stock". This shows only for a line with a coin from inventory.
- Enter a "Reason" if you want one.
- Click "Save return", or the refund button, such as "Return and refund $250.00".
How the refund works
- A card payment through Stripe or Authorize.net is refunded through that processor. The money goes back to the buyer's card.
- A payment you recorded by hand, such as cash or a check, is not sent anywhere. Give the money back yourself. CoinManagerPro records the refund.
The "Returns" section lists each return with its quantity, date, credit and refund. The refund shows as "No refund", "Refund pending", "Refunded" or "Refund failed".
When a refund fails
The return is saved, and the error shows on the return. Click "Send the refund again" to try again.
Returns and customer totals
The invoice total has the returns taken off. The customer's lifetime value uses that total.
To cancel a whole sale that is not paid, you can void the invoice instead. Voiding puts every coin back in stock.
