Import auction results and close out the sale.

When a HiBid or LiveAuctioneers sale ends, upload the results report or forward the results email. CoinManagerPro records each lot, makes the invoices, and takes the sold coins out of stock.

Rows with a problem wait for you in Results review.

The Results review page in CoinManagerPro after a HiBid results import. Five rows wait for a check: a sale below the reserve, 12 of 20 coins sold from a lot, a lot number not in the sale, a sale below the coin's cut bid, and a lot that appears twice in the file.

What the results import does

A sale of 1,800 lots closes out from one file. You check only the rows that do not match your records.

Upload the report

Upload the platform's results file as CSV or Excel on the sale's page. Preview the rows before you import them.

Or forward the results email

Each platform sale has its own results email address. Forward the platform's email with the report attached, and it imports.

Only your team can send results

An emailed report must come from a member's sign-in address, and the sender's domain must pass email authentication. Other emails are rejected.

Invoices per buyer

Sold lots become one invoice per buyer, with the buyer's premium and the sales tax from the report. When you consign to the platform, the lots go on one invoice to the platform, net of its fees.

Stock and consignments update

Sold coins leave stock. A lot of several coins can sell in part, and the rest stay in stock. Consignment totals update from the sale prices.

Results review

A row waits for review when its lot is unknown, it is a duplicate, the quantity or the price does not match, or the hammer is below the reserve or the cut bid.

Status rules for unsold coins

Choose the status a coin gets when it did not sell, passed below the reserve, or sold in part. A coin with no stock left becomes Sold.

Safe to import again

Import the same report twice and the lots already recorded are skipped.

How results import works

01

The sale ends

The platform sends you its results report, or you download it from the platform.

02

Send it to CoinManagerPro

Forward the email to the sale's results address, or click Import results on the sale and upload the file.

03

Clean rows are recorded

Rows that match your lots become invoices and stock changes. Turn off Record clean rows on import to check every row first.

04

Review the rest

In Results review, record a row as shown, change it and record it, or dismiss it. Unsold coins go to the Unsold coins page.

Questions about auction results

Which platforms' reports can I import?

HiBid, LiveAuctioneers, GreatCollections, Proxibid, Invaluable, Bidspirit, and Bidsquare. For another platform, map its columns once and save the mapping.

What does the import read from the report?

The lot number, hammer price, buyer's premium, total, buyer name and email, bidder number, sold or unsold, quantity, sales tax, platform fee, and payment details, when the report has them.

What happens to a lot that sold below my reserve?

It waits in Results review. You can record it, for example when the consignor accepted the bid, or dismiss it.

Does it work for Invaluable?

Yes. CoinManagerPro reads Invaluable's Lot Summary Statistics, then applies the fees and payments from Invoice Group Details.

Who can import results?

Members with the Manage listings permission.
