Know which coins are out on memo and when they are due.
Send coins on approval to a customer, a dealer, or a contractor. The coins stay in your inventory as On memo until they come back or the recipient buys them.
Reminders go out when a memo is due soon and when it is overdue.
Memo 1027 to Robert Miller, a customer, in CoinManagerPro. It is partly returned, with $44,200.00 out: four coins out and due Nov 16, 2026, and one returned. The coins are a 1907 High Relief Saint-Gaudens, an 1879-CC Morgan dollar, a 1916-D Mercury dime, a 1909-S VDB cent, and a returned 1937-D three-legged Buffalo nickel. The actions are Record return and Sell to recipient.
What memos do
A memo for each recipient
Pick a customer or a contractor, or type the name, email, phone, and address of another dealer. Each memo gets a number.
A memo price for each coin
Set the price of each coin on the memo. The memo shows the value still out.
Due dates
Set a due date and change it when you give more time. The memo list shows open memos, overdue memos, and memos due in the next 3 days.
Reminders
Members with "Manage memos" get a reminder when a memo is due soon and when it is overdue. A new due date starts the reminders again.
Record returns
Record the coins that come back, all of them or some. Returned coins go back to available and the memo closes when every coin is back or sold.
Sell to the recipient
When the recipient keeps coins, make one invoice for them from the memo. The coins come out of stock.
Print the memo
Print the memo with your terms for the recipient to sign. Internal notes stay with your team.
A full history
Each send, return, sale, and due date change goes into the memo history and the history of each coin.

Questions about memos
Who can I send coins on memo to?
A customer in CoinManagerPro, one of your contractors, or anyone else. For anyone else, type the name, email, phone, and address on the memo.
Can a coin be on memo and for sale at the same time?
No. A coin must be available to go on memo. While it is out, it shows On memo, and the stock on your sales channels updates.
Can I return or sell only some coins on a memo?
Yes. Select the coins first. The actions then apply to those coins only.
Can I send one coin on memo from its page?
Yes. On the coin page, click "Custody" and then "Send on memo".
Who can make memos?
Members with "Manage memos" make memos and record returns. Selling from a memo also needs "Sell".
